The first shift for us was realizing that client experience doesn’t just happen—it’s built behind the scenes.
We use tools like HoneyBook and Google Drive to keep everything organized and streamlined from the very beginning. HoneyBook handles contracts, invoices, proposals, and onboarding workflows. Everything lives in one place, which creates a seamless experience for both us and our clients. Google Drive is where we house all client files, links, and deliverables. This keeps our team aligned and ensures clients always know where to find what they need.

Communication + Project Management
This is where most businesses start to feel chaotic if there isn’t a system in place.
We use Slack for communication and Asana for project management.
Slack keeps all conversations organized in one place so nothing gets lost in emails or DMs. Each client and team channel has a clear purpose, which keeps communication clean and efficient.
Asana is where everything actually gets executed. Tasks, timelines, responsibilities—everything lives there. Every team member knows exactly what they’re responsible for, and nothing falls through the cracks.
This alone removes so much mental load.
Content + Visibility
For our clients, consistency online is everything—but that doesn’t mean they need to be online 24/7. We use platforms like Instagram, TikTok, Facebook, LTK, and Amazon to manage and grow visibility.
The key here isn’t just posting—it’s having a strategy behind it. Our clients don’t have to think about showing up constantly because their content is planned, created, and executed consistently behind the scenes.
That’s what builds momentum.
Scheduling + Automations

We use Metricool for scheduling content and ManyChat for automations. Content is scheduled in advance so nothing gets missed, and messages are automated so leads and inquiries are still being handled even when we’re not online.
This is one of the biggest shifts from “busy” to actually scalable.
Design + Creation
Content creation doesn’t need to be complicated—but it does need to be consistent and on-brand.
We use Canva and ChatGPT to create graphics, PDFs, client resources, and written content.
Canva keeps everything visually cohesive, while ChatGPT helps streamline workflows, captions, blogs, and backend content creation.
Together, they allow us to create efficiently without sacrificing quality.
